Rethinking merchandise: Balancing impact with intent

Chelsea Rolfe, Assistant Head of Conferences and Events (Sales and Marketing) at the University of Leeds, reflects on the sustainability dilemmas of event merchandise – and how small, thoughtful choices can have a lasting impact.

Event merchandise – an element of events that I’ve always felt conflicted about from a sustainability perspective. It’s a tricky balance: trying to find something that reflects your brand and values, that people will actually want, and that doesn’t compromise your environmental principles.

A conscious shift at the University of Leeds

At the University of Leeds Conferences and Events, we’ve made a real effort over the last few years to review what we’re giving away and why. The truth is, merchandise still has its place. It can help create a memorable experience, prompt a conversation, or simply be a kind gesture. But we also recognise that it can lead to waste, particularly when items lack sustainable materials or don’t hold value for the recipient.

A creative concept with hidden costs

For our most recent trade show, we wanted to do something a little different. We worked closely with our creative team to come up with a few concepts, one of which was a wooden educational game. It felt like a great fit – fun, tactile, and subtly tied to our University roots. The company we worked with were brilliant and really open to our ideas. But once we started digging a little deeper into the product’s sustainability credentials, we hit a few red flags.

The cost of doing better

The version we sampled came from China and used materials that didn’t meet our sustainability standards. When we asked for a greener alternative, they offered the same product made here in the UK with more sustainable materials – but at five times the cost. While we’re always willing to invest in quality and sustainability, in this instance, the price made it unviable.

Simple, local and sustainable wins the day

So, we went back to the drawing board.

In the end, we decided to go with something simple, thoughtful, and consumable – chocolates from Lauden , a fantastic family-run company based in Kirkstall, Leeds. By choosing them, we supported a local company and discovered they partner with Cocoa Horizons – an organisation working to improve the livelihoods of cocoa farmers and promote sustainable farming. You can read more about their work here.

Picture of box of chocolates

Small choices, big impact

The chocolates were a hit – and they didn’t end up in landfill.

It’s not always easy to get it right, but we’re committed to trying. We’ll continue to seek out suppliers who share our values, ask the right questions, and challenge ourselves to do better. Because thoughtful choices – however small – add up.

I get to work with an incredibly talented team who are passionate about what they do. That’s what excites me the most. I’m also really looking forward to not only representing the University, but championing Leeds as a fantastic destination for conferences and events.

With extensive experience in the industry, Karina brings a deep understanding of what makes an event successful. Her career began on the operational side of events, which gave her first-hand experience of event delivery from the ground up.

I love the buzz of event days – creating memorable experiences and bringing people together in new ways. That hands-on experience gave me a real understanding of what goes into making an event successful. Over the years, I’ve built on that with sales experience and a strong customer focus, which I believe has set me up well for this role. Now, I’m excited to bring it all together, support our fantastic team, and reach new audiences.

Driving innovation and sustainability

Sustainability is more than just a buzz word for us – it’s ingrained in everything we do, and we’re lucky to be able to draw on the insight of top academics to help us keep improving.

Another focus is changing perceptions of what a university event venue can offer.

Universities are hubs of creativity, and we want to showcase that. We work with incredibly innovative teams and are always pushing the boundaries of what’s possible. Our goal is to prove that university venues can offer something different for your event.

Why choose the University of Leeds for events?

University of Leeds will continue to offer exceptional event experiences, thanks to its outstanding team, diverse venues, and high-quality catering.

First and foremost, it’s the team that makes us stand out. Our event professionals support clients every step of the way. We’re also true to our Yorkshire values – transparent with costs and always focused on finding the best solution for each client.

The diversity of venue spaces is another major advantage, from historic listed buildings to contemporary conference spaces. With a large campus, organisers can create truly bespoke experiences for their delegates.

And of course, there’s the food.

Our chef teams create incredible menus using locally sourced ingredients wherever possible. Great catering is such an important part of an event, and we’re proud to deliver high-quality, sustainable options.

Top tips for organising a team away day

Planning a team away day is an excellent opportunity to bring colleagues together, spark creativity, and strengthen relationships. To ensure your event is both memorable and effective, follow these tips:

  1. Choose an inspiring venue

Selecting the right venue sets the tone for your day. Look for spaces that inspire collaboration and creativity, such as those with natural daylight, spacious layouts, and unique settings. Venues that provide substantial catering options are a must – good food leaves a lasting impression!

  1. Take time to plan a diverse agenda

A well-thought-out agenda ensures the day is engaging for everyone.

Incorporate:

  • Key speakers: Invite inspiring voices to share insights. These don’t have to be external – look to inspiring people outside of your department but within the University of Leeds, such as our world-class academics.
  • Facilitators: Have someone guide discussions to spark new ideas.
  • Creative activities: Include tasks that challenge the team in new ways, from hands-on workshops to problem-solving games.

Top tip – ask the University of Leeds Conferences and Events team if you need suppliers. We have lots of connections!

  1. Be intentional with team-building activities

Define your goals for the day – whether it’s strengthening communication, collaboration, or simply having fun. We can help you find cost-effective team-building activities, from larger experiences like an interactive scavenger hunt or Taskmaster-style challenges to smaller, focused workshops.

There are also companies that create teamworking activities that unite your team in service while making a positive impact on communities in need. We’ve made a water filtration system blind folded that is now being used in Uganda to aid a community.

  1. Allow time for networking

Some of the best conversations happen during unstructured moments. Build in time  for casual networking. You could host a reception or even plan an informal outing to town after the main agenda.

How to cook the perfect turkey: expert tips from award-winning chef Aaron Tong

Cooking the perfect turkey is a hallmark of festive celebrations, and it doesn’t have to be daunting! Our award-winning Head Chef, Aaron Tong, has shared his expert advice to help you achieve a succulent, flavour-packed bird every time. Whether you’re hosting a holiday feast or a family gathering, these five simple steps will guide you to perfection.

  1. Bring your turkey to room temperature

The key to an evenly cooked turkey is starting at the right temperature. Take your turkey out of the fridge 20–30 minutes before cooking. This small step minimises shrinkage during cooking and ensures even heat distribution, delivering a better final result.

  1. Prep aromatic vegetables for added flavour

A great turkey begins with a flavourful base. Wash and peel carrots, celery and onions – arrange them around the turkey in the roasting tray. These aromatic vegetables infuse the meat with depth and can double as the base for a delicious homemade gravy. 3. 3.

  1. Season, cover, and cook

Place the turkey in a roasting tray and rub it generously with oil, seasoning it well with salt and pepper. Cover it with tinfoil and place it in a preheated oven at 180°C (gas mark 4). To enhance the flavour, add fresh herbs like rosemary and thyme to the tray an hour before the turkey is done. During the final hour of cooking, remove the foil to allow the skin to brown beautifully.

  1. Perfect cooking times

Always preheat your oven for at least 20 minutes before cooking. Follow these general guidelines based on the turkey’s weight:

  • 4–5kg: 2 hours 15 minutes to 2 hours 30 minutes
  • 5–6kg: 2 hours 30 minutes to 3 hours
  • 6–7kg: 3 hours to 3 hours 30 minutes
  • 7–8kg: 3 hours 30 minutes to 4 hours

Top tip: Use a meat thermometer or check the juices near the thigh—they should run clear when the turkey is fully cooked.

  1. Rest – for maximum juiciness

Once cooked, remove the turkey from the tray and let it rest for 30 minutes to an hour, lightly covered with foil. Resting allows the juices to redistribute, resulting in a moist and tender turkey. While it rests, it’s the perfect time to prepare your side dishes and gravy using the strained pan juices for added richness.

How much turkey should you buy?

For a whole turkey on the bone, allow 450g per guest. If you’re serving hearty eaters or want plenty of leftovers, go for 650g per person.

With our extensive experience in event planning and conference management, we’ve put together our top tips to help you run a successful event, whether it’s a corporate conference, seminar or team-building day.

Top Tip 1. Define Your Event Objectives

The foundation of any successful event lies in thorough planning. Before diving into the logistics, sit down with your team to outline the key objectives of your event. What do you hope to achieve? What are your critical success factors? Understanding these points will guide your decisions and keep you focused as you move forward with the event planning process.

Providing us with detailed information on your event’s objectives and budget allows us to tailor our services and offer effective solutions. The more we understand about your goals, the better we can support you in delivering a successful conference or event.

Tip: Keep an eye out for special offers! For instance, our Cloth Hall Court venue is currently offering a discounted day delegate rate for events booked in January and February. This limited-time offer is a fantastic way to make the most of your budget without compromising on quality.

Top Tip 5. Keep Everyone Updated
